Create an invoice

Build a professional invoice with a contact, dates, line items, taxes, discounts, payment info, and notes.

Trueinvoice keeps invoices in statuses such as Draft, Sent, Partially Paid, and Paid. Create a draft first, then share or collect payment when you are ready.

1. Open Create Invoice

  1. Open the Invoices tab.
  2. Tap + to open Create Invoice.

2. Add a contact

  1. Tap + Add Contact.
  2. Search and select an existing client, or tap + Add New Contact.
  3. Tap Done.

3. Set invoice number and dates

  1. Tap the invoice number / date row to open Edit Dates.
  2. Enter an Invoice Number if your numbering mode requires it (or leave it for automatic numbering).
  3. Confirm Invoice Date and Due Date.
  4. Tap Save.

4. Add items

  1. Tap + Add Item.
  2. Search your catalog, tick the items you need, or tap + Add New Item.
  3. Tap Done.

Build your catalog first with Add an item if you bill the same products or services often.

5. Edit an item

  1. Tap a line item to open Edit Item.
  2. Update Item Name, quantity (for example Session), and Price.
  3. Under Taxes Applied, tick the tax presets that apply to this item.
  4. Tap + Add Global Tax Preset if you need a new rate, then Save.

6. Configure the unit

  1. On the Items card, tap the unit chip (for example Session).
  2. Choose the Unit of measurement for items on this invoice.
  3. Tap Save.

7. Tax and discount

On Invoice Summary, use the icons next to the title:

  1. Tap the gear icon to manage global tax presets (create named rates you can apply to any item).
  2. Tap the edit (pencil) icon to open the Discount & Tax Summary drawer — set an invoice-level Discount % and review the per-item tax breakdown.
  3. Tap Save when the discount and tax totals look right.

8. Payment info

  1. On the Payment Info card, choose how this invoice should collect payment: toggle off for Stripe (when connected), or toggle on for payment notes.
  2. If you are using payment notes, open Payment Info:
    • Leave Use Custom off to use your default / global payment information from Settings.
    • Turn Use Custom on to enter bank / payment instructions for this invoice only (up to 300 characters).
  3. Tap Save.

Set or change the global defaults in Configure invoice defaults. For Stripe, see Connect Stripe and get paid.

9. Notes

  1. Tap Notes.
  2. Choose either:
    • Leave Use Custom off to use your default / global notes from Settings (Using default from settings).
    • Turn Use Custom on to write notes for this invoice only (up to 400 characters).
  3. Tap Save.

Set or change the global notes default in Configure invoice defaults.

10. Review the summary

  1. Check Invoice Summary (subtotal, discount, tax, amount due).
  2. Confirm Payment Info and Notes look right for this invoice.
  3. Optionally leave Add Signature on so your saved signature appears on the PDF.

11. Save

Tap Save to keep the draft. PDF template and colour come from Configure invoice defaults, not from this screen.

Tips

After you save, open the invoice from the list to keep working on it:

  • View or edit — reopen the invoice anytime to change contact, items, dates, payment info, or notes (while it still allows edits).
  • Duplicate — create a copy of an existing invoice so you do not rebuild a similar bill from scratch.
  • Mark as Sent — update status when you have shared the invoice outside email (link, PDF, or QR). Email send can move Draft → Sent automatically — see Share an invoice.
  • Record a payment — log bank transfers, cash, or other offline payments — see Record a payment.
  • Automatic reminders — unpaid Sent invoices can email the client on due date / +3 / +7 days — see Set up automatic reminders.
  • Filter the list by All, Outstanding, or Paid. Invoices generated from a schedule show a small repeat icon; manage schedules under side menu → Recurring Invoices.
